Parts and Service Administrator

Description

Summary

The Parts and Service Administrator will provide support for the Service department. This individual must be highly motivated to accomplish their objectives through the use of proper purchasing procedures, inventory control, and pricing and service.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include but are not limited to the following. Other duties may be assigned as needed.
 
  • Manage work orders in compliance with the Ten-8 Service flow process.
  • Assist the Service Manager in creating work orders for the shop and local mobile service.
  • Using information provided by the technicians, complete cause and correction information on the work orders prior to billing customers. High value work orders will be approved by the manager.
  • Research and identify parts that technicians are unable to identify.
  • Accurately identify, record and order technician’s parts requests to complete work orders.
  • Monitor orders to anticipate late deliveries and escalate deficiencies to the manager.
  • Submit warranty information in a timely manner to the Warranty Manager.
  • Assist Service Manager in setting and maintaining inventory levels for the location.
  • Maintain the storeroom and stock in an orderly professional fashion.

 

Qualifications

QUALIFICATION REQUIREMENTS: 
To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.
 
LANGUAGE SKILLS: Ability to read and comprehend simple instructions, short correspondence and memos.  Ability to create standard correspondence.  Ability to effectively and concisely present information in one-on-one and small group situations to customers and other employees.  Ability to work from oral and written instructions.   Proficient verbal communication skills, in English, are required.

EDUCATION AND EXPERIENCE: 

o   A high school diploma or equivalent is required. 

o   Prior truck parts and service writing experience required.

o   Strong attention to detail.

o   Computer literate.

o   Good listener with excellent phone skills.

o   Creative problem solver.

·       Ability to read parts blueprints and schematic diagrams.

(Comparable amount of training, education, or experience may be substituted for the above minimum requirements.)

MATHEMATICAL SKILLS: Ability to apply concepts of basic mathematics.

REASONING ABILITY: Ability to apply common-sense understanding to carry out instructions in written and oral form. Ability to deal with problems involving several concrete variances in standardized situations.

OTHER SKILLS AND ABILITIES: 

o   Good phone etiquette.

o   Must be able to manage time, cost and effort to ensure efficiency.

o   Must have excellent verbal and communications skills.

o   Must have a strong ability to multi-task.

o   Must be detail oriented.

o   Must provide excellent customer service.

o   Must be able to work independently on assigned tasks as well as to accept direction on given assignments.

PHYSICAL DEMANDS: 
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
 
·       HEAVY WORK:  Lifting 100 lbs. maximum with frequent lifting and/or carrying of objects weighing up to 50 lbs.

·       PHYSICAL REQUIREMENTS: Frequent lifting, carrying, pushing, pulling, with occasional stooping, kneeling, crawling, climbing, and balancing.

·       WORK POSITION: Sitting 50%, standing 25% and walking 25%

·       WORK CONDITIONS: Spends approximately 50% of the time in equal amounts both indoors and outdoors.
