Description
ESSENTIAL DUTIES AND RESPONSIBILITIES: include but are not limited to the following. Other duties may be assigned as needed.
- Process Manufacturer’s Statement of Origin for customers-
- Track delivery of new Apparatus/Ambulance in a timely manner by utilizing the Ten-8 Backlog Report and begin processing MSO paperwork upon delivery and/or payment of unit
- Complete back of the Manufacturers Statement of Origin and corresponding documentation then ship to the customer to obtain tag and title at their local tag office
- Knowledge of title/tag processes and requirements in GA and FL
- Knowledge of different MSO requirements of Ten-8 customers as they may apply
- Maintain MSO Name and Address spreadsheet in Excel for accuracy
- Travel to local tag agency for dealer service of tag/title items when required
- Process and send out of Performance and Bid Bonds-
- Review bond for correct customer name and order information
- Sign bond as witness and have bond signed by officer of company
- Save a copy of the bond to the job file and email a PDF copy of the signed bond to the manufacturer, sales representative, and Vicky/Kathryn
- UPS overnight to customer
- Arrange driver pick-ups from ambulance manufacturers, Pierce Bradenton, demo drives, and other drives as assigned
- Assign Ten-8 CDL and non-CDL drivers to pick up units in a timely manner when requested
- Arrange car rentals and flights for drivers and send out Driver Confirmation email to all recipients after booking
- Submit driver fee payments to payroll by deadline every 2 weeks.
- Submit driver logs/fuel logs, fuel receipts to Office Manager on out-of-state Fire Apparatus drives as required by DOT regulations
- Submit driver fare email to Vicky/Kathryn in a timely manner
- Train new drivers or assist current drivers with their trip expense reimbursement in Concur system. Review Concur submissions and approve in a timely manner.
- Use of Enterprise Travel Direct (ETD) system for car rentals. Work with ETD representative to solve any rental issues.
- Order and renew temp tags/temp registrations when required through Auto Data Direct System
- Order overweight/oversize trip permits through JJ Keller system when required on Aerial Fire Apparatus drives going out-of-state
- Contact drivers for random CDL drug screenings when requested by HR.
- Maintain list and ship drivers IFTA stickers each calendar year
- Maintain list of Ten-8 training requirements for upcoming/new Fire Apparatus deliveries- work with Trainers on assignments
- Confirm training needs with Apparatus Sales Reps upon ship date from Pierce
- Assign trainers as determined for 1 or 3-day training sessions
- Email trainer required materials to be familiar with new unit
- Submit trainer fee payments to payroll by deadline every 2 weeks
- Assist Trainers with Concur expense reimbursement system- teach new Trainers how to use Concur system. Approve Trainer expense reimbursement in Concur in a timely manner.
- Submit Training Orientation Forms from Trainers to Pierce Contact Center
- Maintain accurate New Delivery Training spreadsheet in Excel
- Process Trade-in’s and Used Apparatus/Ambulance Sales
- Work with Sales Rep and customers on arranging pick up of trade-ins by buyer or wholesaler
- Submit processed GA or FL title and required certifications to buyer or wholesaler
- Maintain Trades spreadsheet in Excel
- Submit ambulance warranty forms to manufacturer and chassis manufacturer
- Other duties as assigned.
