Financial Support Supervisor

Description

SUMMARY:  The person in this position oversees daily office operations, including accounting, reporting, clerical tasks, customer service, and administrative support. This role requires strong organizational skills and the ability to collaborate with employees, vendors, stakeholders, and customers of Ten-8 Fire & Safety, LLC.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include but are not limited to the following. Other duties may be assigned as needed.

  • Oversee daily accounting functions to ensure accurate data for reporting, analysis, and financial forecasting.
  • Monitor the Accounts Receivable Division to ensure accurate and timely invoicing, payment collection, and customer satisfaction.
  • Monitor Accounts Payable Division to ensure accurate and timely payment of vendor invoices to maximize early pay discounts.
  • Manage weekly vendor payments via check or direct deposit payments.
  • Liaise with vendors to resolve discrepancies and manage accounts.
  • Manage payment of company-vendor sponsorships.
  • Create invoices for event sponsorships by vendors.
  • Manage payment of property taxes for all locations.
  • Manage payment of dividend distributions.
  • Manage line of credit payment of ambulance invoices.
  • Manage office records, reporting systems, and document retention.
  • Review and approve credit applications for new customers.
  • Manage corporate credit card accounts, including issuing cards, setting limits, and closing accounts.
  • Maintain daily bank balance, oversee transactions, and manage cash flow.
  • Manage and process payment of telephone and utility bills for all facilities.
  • Manage and reconcile petty cash accounts.
  • Manage and maintain accurate customer and vendor records in software systems.
  • Notarize documents for various departments.
  • Participate in bi-weekly accounting staff meetings.
  • Perform other duties as assigned to support company objectives.
  • Lead and manage accounts receivable, accounts payable, cash application, and company compliance.
  • Provide coaching, recognition, and disciplinary action as needed.
  • Foster cross-training, professional development, and succession planning.
  • Recommend staffing and process improvements to leadership.
  • Conduct annual performance evaluations for direct reports.

QUALIFICATION REQUIREMENTS: An individual must be able to perform each essential function satisfactorily to succeed in the position. The following requirements are representative of the required knowledge, skills, and/or abilities.

  • Strong verbal and written communication skills.
  • Proficiency in accounting principles, mathematics, and financial reporting.
  • Ability to interpret and apply business and accounting methodologies.
  • Strong analytical, problem-solving, and conflict-resolution skills.
  • Strategic thinking and ability to contribute to high-level business planning.
  • Strong organizational skills with the ability to prioritize tasks efficiently.
  • Ability to work both independently and collaboratively.
  • Excellent customer relationship management skills.

EDUCATION: 

  • Bachelor’s degree in business, management, accounting, or a related field (or an equivalent combination of education and experience).
  • Experience in office management, finance, or administration preferred.

MATHEMATICAL SKILLS: Ability to apply concepts of basic mathematics and algebra.

REASONING ABILITY: Ability to apply common-sense understanding to carry out instructions in written and oral form. Ability to deal with problems involving several concrete variances in standardized situations.

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Must be able to lift/carry a maximum of 20 lbs.

Sitting:  80 % Standing: 10 % Walking: 10 %
