Order Management Specialist

Description

SUMMARY: The Order Management Specialist will play a crucial part in ensuring smooth operations within the Order Management Team. Primary responsibilities include handling the Manufacturer’s Statement of Origin (MSO) paperwork, requesting temporary tags, and coordinating drivers/new vehicle delivery trainers.

The position reports directly to the Contract Administration Manager and works to establish strategies for increasing efficiency, supporting customers, and improving order management processes. 

ESSENTIAL DUTIES AND RESPONSIBILITIES: include but are not limited to the following. Other duties may be assigned as needed.

  • Order Processing:
    • Ensure orders and all supporting documentation are processed accurately in the dealership management system.
    • Coordinate Dealer MSO paperwork.
    • Address and resolve any issues related to order discrepancies or delays.
    • Coordinate timely coordination of vehicle logistics with the delivery team.
    • Coordinate post-delivery vehicle training with the new delivery training team.
    • Process project change orders.
  • Cross-Functional Collaboration:
    • Collaborate with all sales personnel to ensure a seamless vehicle delivery process by providing proper and timely supporting documentation.
    • Partner with customers and sales team members to understand their business needs and objectives.
  • Documentation and Reporting:
    • Maintain accurate records of orders and shipments.
    • Assist the Order Management Manager in analyzing order data to identify areas for improvement.
  • Process Improvement:
    • Suggest opportunities for process improvements and implement changes to enhance efficiency.
    • Participate in team meetings to discuss challenges and develop solutions.
  • Compliance and Documentation:
    • Ensure all order processing activities comply with company policies and industry regulations.
    • Maintain accurate records of orders, deliveries, and related documentation.
    • Follow standard operating procedures (SOPs) and contribute to their continuous improvement.
  • Other duties: This position will be assigned other duties by executive leadership to accomplish the mission and vision of Ten-8.

LANGUAGE SKILLS:  Excellent written and verbal communication skills.

EDUCATION: Associate degree in a related field and three (3) to five (5) years of contract administration experience preferred.

MATHEMATICAL SKILLS:  Ability to apply concepts of basic mathematics, algebra, and geometry.

REASONING ABILITY:  Ability to apply common-sense understanding to carry out instructions in written and oral form.  Ability to resolve problems and recommend improvements in all areas of responsibility. 

OTHER SKILLS AND ABILITIES:

  • Preferred: Working knowledge of accounting principles.
  • Preferred: Working knowledge of SAP.
  • Working knowledge of Microsoft Office Software.

  • Maintain the ability to work both independently and collaboratively with a team.
