Service Writer
Description
Summary
Reporting to the service manager, the service writer is responsible for processing and billing and warranty claims in a timely fashion. The service writer will also handle all aspects of acquiring parts for the day to day operation of the business.
Duties and Responsibilities
Billing
- Process and complete final software billing for all non-warranty, warranty, and internal work performed.
- Order, disperse, retrieve, and send all failed components under warranty to the respective vendor.
- Process all warranty claims to respective vendors with matching documents in the software system.
- Maintain a complete service history file of all trucks serviced
Shop Parts
- Research and order all parts (including non-stock parts) needed for shop repair work, and service trucks stocking.
- Under the direction of the parts department leader and service manager, maintain the warehouse and parts inventory.
- Complete cycle counts as directed by the parts department leader.
- Assist the service manager in preparing quotes for customers.
Phones
- Handle all incoming phone calls in a polite and professional manner.
Shipping and Receiving
- Package goods for shipment and contact appropriate carriers to make arrangements for shipping and delivery of materials.
- Reconcile, examine, and receive incoming items on the packing lists and company order records. Verify contents agree with the vendor packing list and company purchase order.
- Notify and work with vendors for problems with damages, shortages, and incorrect orders.

- Be able to learn OEM and company policies procedures outlined in manuals
- Operate computers and be proficient with Microsoft Outlook Email, Microsoft Word & Excel programs as well with any company provided software
- Be able to work independently with minimal supervision
- Have strong attention to detail when processing paperwork and orders
- Have excellent verbal and written communication skills
- Be well-versed in logistics and have knowledge of principles and methods for moving goods by air, rail, sea, or highway
Education and Experience
- High school diploma or equivalent required
Physical Demands
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is required to sit 80% of work time and stand/walk 20% of work time. The employee must frequently lift and/or move up to 50 pounds frequently. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.
