Warranty Clerk

Description

SUMMARY: The Warranty Clerk is responsible for processing all warranty claims and collections.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include but are not limited to the following. Other duties may be assigned as needed.

  • Assist the Warranty Manager in preparation, submittal, negotiation, approval and posting of all OEM warranty claims.
  • Provide feedback to the service writers and managers on accuracy and compliance of their internally submitted claims.
  • Coordinate shipment of defective parts from all locations.
  • Support the Warranty Manager in receiving and posting the credits from the OEMs into the ERP system.
  • Manage warranty end dates in the ERP system by equipment and send letters to customers informing them of the pending end of the warranty on their vehicles.
  • Submit preapprovals for warranty claims to the Warranty Manager, notify service centers once approved.
  • Generate weekly agreed KPI’s to all service locations.
  • Ensure all direct reports are efficiently trained in all aspects of the job and facilitate continuous development programs that enhance all areas of responsibility.
  • Create an environment geared to employee job satisfaction and continued improvement.

QUALIFICATION REQUIREMENTS:

Proficient verbal and written communication skills in English are required.  Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to create standard correspondence both written and verbal.  Ability to effectively and concisely present information in a one-on-one and small group situation to customers and other employees.  Ability to work from oral and written instructions.

  • Associate degree or equivalent.
  • Prior warranty experience required.

MATHEMATICAL SKILLS:  Ability to apply concepts of basic mathematics, and algebra.

REASONING ABILITY:  Ability to apply common-sense understanding to carry out instructions in written and oral form. Ability to deal with problems involving several concrete variances in standardized situations.

OTHER SKILLS AND ABILITIES:

  • Must be able to work independently on assigned tasks as well as to accept direction on given assignments.
  • Proven ability to work both independently and in a team environment.
  • Must have the ability to establish and maintain effective customer relationships.
  • Ability to prioritize tasks and work quickly and efficiently.
